User Guide

Everything you need to set up your AI assistant, embed it on your website, and keep it running.

🚀 Getting started

Create an account and your 30-day free trial begins immediately — no credit card required.

Creating an account

Go to the ZynAssist website and click Get Started Free.
Enter your email address and choose a password, then click Create account.
Check your inbox for a verification email and follow the link to confirm your account.
Sign in — you'll land on your account dashboard.

Signing in

Click Sign in in the top-right corner and enter your email and password. If you forget your password, use the reset link on the sign-in page.

Your account panel

After signing in you'll see your account panel, which has six sections in the left sidebar: Dashboard, Settings, Chat Widget, Live Chat Preview, Chat History, and Subscription & Payments. Each is described below.

📊 Dashboard

An at-a-glance overview of your AI assistant's current state.

Site status

The status card shows the current state of your connected website. There are four possible states:

Connected
Your website has been crawled and your AI assistant is active. Visitors can ask questions and receive accurate answers.
Pending
Your website URL has been saved and a crawl is scheduled or in progress. Your AI assistant will be ready shortly.
Not Configured
No website URL has been entered yet. Go to Settings and add your website URL to get started.
Unavailable
The crawl service is temporarily unreachable. This is usually resolved automatically — check back in a few minutes.

Stats

Last Crawled shows when ZynAssist last scanned your website. Pages Scanned shows how many pages were indexed in the last crawl. Your AI assistant's knowledge is based on this content.

Tip: If you've recently updated your website, the stats will refresh automatically on the next crawl cycle. No action is needed from you.

⚙️ Settings

Tell ZynAssist which website to learn from.

Adding your website URL

In your account panel, click Settings in the left sidebar.
Enter your website URL in the Website URL field (e.g. https://www.yourwebsite.com).
Click elsewhere on the page — the URL is saved automatically.

ZynAssist will begin crawling your website and indexing its content. The Dashboard will update to show a Pending status while the crawl runs, then Connected once it completes.

Changing your website URL

Simply replace the existing URL with your new one and click elsewhere to save. ZynAssist will crawl the new site on the next cycle. Content from the old URL is automatically removed as it ages out.

Note: ZynAssist only crawls publicly accessible pages. Pages behind a login or paywalled content will not be indexed.

💬 Chat Widget

Customise how your AI assistant looks and add it to your website.

Appearance

In the Chat Widget tab you can customise three things:

Chat Header — the name shown at the top of the chat window (e.g. "Support", "Ask us anything").
Welcome Message — the first message visitors see when they open the chat (e.g. "Hi! How can I help you today?").
Primary Color — the accent colour used for the chat button and highlights. Click the colour swatch to open the colour picker.

Changes are reflected immediately in the live preview on the right. All changes are saved automatically when you click outside the field.

Embedding the widget on your website

Once you're happy with the appearance, add the widget to your website with a single line of code:

Scroll to the Embed Code Snippet section in the Chat Widget tab.
Click the copy icon in the top-right corner of the code block.
Paste the snippet into your website's HTML, just before the closing </body> tag.

The code looks like this:

<script src="https://…/widgets/ai-widget.js" data-public-key="pk_live_…" defer> </script>

Adding the widget on popular platforms

WordPress

In your WordPress admin, go to Appearance → Theme Editor (classic themes) or install the Insert Headers and Footers plugin (recommended).
If using the plugin: go to Settings → Insert Headers and Footers and paste the snippet into the Scripts in Footer box.
Click Save. The widget will appear on every page of your site.

Wix

In your Wix dashboard, go to Settings → Custom Code.
Click + Add Custom Code, paste the snippet, and set the placement to Body — end.
Set "Add Code to Pages" to All Pages and click Apply.

Squarespace

Go to Settings → Advanced → Code Injection.
Paste the snippet into the Footer field.
Click Save. The widget will load on all pages.

Webflow

In the Webflow Designer, open Project Settings → Custom Code.
Paste the snippet into the Footer Code field.
Click Save Changes, then publish your site.
Other platforms: Most website builders have a "Custom Code", "Header & Footer", or "HTML embed" option somewhere in Settings. Paste the snippet there, making sure it's placed in the footer/body section rather than the head.

🌐 Language Support

Your AI assistant replies in your visitor's language — automatically, with nothing to set up.

You don't need to configure a language anywhere in your account. When a visitor asks a question, your AI assistant automatically detects the language they're writing in and replies in that same language — whether your website content is in English, Norwegian, or something else entirely. Language is never a barrier for your visitors.

Nothing to configure: this works out of the box for every visitor. You don't need to translate your website, choose a default language, or enable anything in your Chat Widget settings.

🧪 Testing your AI

Chat with your AI agent directly in your account to see how it responds before going live.

Click Live Chat Preview in the left sidebar. A fully functional chat interface will load, powered by your actual website content. Type any question a visitor might ask and see how the AI responds.

This chat is private to you. It is not visible to your website visitors and is purely for testing. Use it to verify the quality of responses before you publish the embed code on your site.

What to test

Ask about your services, products, or pricing — typical questions your visitors send by email.
Try questions about contact details, location, and opening hours.
Ask something the site doesn't cover — the AI should say it doesn't know rather than guessing.

If responses are incomplete or inaccurate, check that the relevant pages are publicly accessible and give the crawl a cycle to pick up any recent changes.

🗂️ Chat History

Browse every conversation visitors have had with your AI assistant to understand what your customers really want.

Viewing conversations

Click Chat History in the left sidebar of your account panel.
You'll see a list of all past conversations, ordered from newest to oldest. Each row shows the date and the opening message of the conversation.
Click any row to expand the full conversation thread and read every message exchanged.

What to look for

Chat history is one of the most valuable tools for improving your website. Common patterns to look out for:

Frequently asked questions — if many visitors ask the same thing, consider adding a dedicated FAQ or expanding that topic on your site so the AI has better content to draw from.
Unanswered questions — conversations where the AI said it didn't know highlight gaps in your website content. Adding that information to your site will improve future responses.
Pricing and contact enquiries — a high volume of these questions often signals that the information is hard to find on your site.
Tip: After updating your website based on what you find in Chat History, allow one crawl cycle for ZynAssist to pick up the new content. You can verify the improvements by asking the same questions in Live Chat Preview.

💳 Subscription & Payments

Manage your plan and billing.

Viewing your plan

Click Subscription & Payments in the left sidebar. You'll see your current plan name, the expiry or renewal date, and your subscription status.

Trial period

When you first sign up you get a full 30-day free trial with no restrictions. Before the trial ends you'll see a prompt to subscribe so there's no interruption to your service.

Subscribing

Click Subscribe in the Subscription & Payments tab (visible when on a trial or expired plan).
You'll be taken to the pricing page — choose a plan and complete checkout.
Your account is upgraded immediately after payment.

Cancelling your subscription

Click Cancel Subscription in the Subscription & Payments tab. Your plan stays active until the end of the current billing period — you won't lose access immediately. After cancellation the button is hidden.

Grace period

On annual plans, if your subscription expires you have a 5-day grace period to renew before access is suspended. The grace period end date is displayed in your account during this time.
